Attendance fees for late cancel and no-show

When staff mark a one-to-one visit as canceled free, rescheduled, canceled with a fee, or no-show, the matching bill is updated. Group visits do not change a bill from these outcomes.

  • Canceled, no fee or Rescheduled: an open bill is waived (nothing owed, Square pay link cleared). Paid, waived, or used-credit bills stay as they are.
  • Canceled less than 24 hours or No show: staff must enter a fee amount.
    • No bill yet and fee above zero: create a pending bill for that amount, due at the visit time.
    • Open bill: set the amount to that fee. Partial or payment-plan status is kept; other open bills go back to pending. Outstanding is recomputed. If cash already received or credit already applied covers the new fee, the bill becomes paid. The Square pay link is cleared so a new link can match the new amount.
    • Paid, waived, or used-credit bills stay as they are.
  • A fee outcome with no amount is refused: “Enter the fee amount.”
  • Enter the fee before saving attendance when you choose a fee outcome.
  • After a waive or fee change, check Payments if the client needs a new pay link.
